Most operational problems are discussed through averages: average lead time, average output and average service level. These measures matter, but they often hide the route each order, job or customer request actually followed. Process mining turns the event records already stored in ERP, warehouse, maintenance and workflow systems into a factual map of how work moves.<\/p>\n

For African operations, that matters. Teams often manage across multiple sites, spreadsheets, legacy systems and variable infrastructure. The answer is not automatically a large software programme. A tightly scoped 90-day pilot can reveal whether better data can remove waiting, rework and avoidable escalation.<\/p>\n

Start with a decision, not a platform<\/h2>\n

Select one commercially important value stream: order-to-cash, procure-to-pay, maintenance work orders or customer onboarding. Define one decision the pilot must improve, such as reducing late orders or shortening approval time. The Process Mining Manifesto<\/a> recommends question-led data extraction; without a clear operational question, teams can spend weeks cleaning data that does not support action.<\/p>\n

Days 1\u201330: frame and prepare<\/h3>\n

Name a process owner, agree the start and end points, and choose three outcome measures. Extract a small event log with at least a case ID, activity and timestamp. Validate samples with frontline staff because a system event may not mean what its label suggests. Protect personal and commercially sensitive data from the outset.<\/p>\n

Days 31\u201360: discover and challenge<\/h3>\n

Build the actual process map, then examine variants rather than only the \u201chappy path\u201d. Look for repeated approvals, queues, loops, hand-off delays and work that bypasses the standard route. Combine the digital evidence with direct observation. Process mining shows where to investigate; operational teams explain why the pattern exists.<\/p>\n

Days 61\u201390: improve and prove<\/h3>\n

Implement one or two controlled changes\u2014for example, clearer decision rights, an exception rule or removal of a duplicate approval. Compare lead time, first-time-right rate, rework and on-time completion against the baseline. Track system-wide outcomes so a faster step does not simply move the queue elsewhere.<\/p>\n

What a successful pilot delivers<\/h2>\n

A good pilot ends with more than a dashboard. It provides a verified process baseline, a ranked improvement backlog, named owners and a quantified case for the next investment.
